Receptionist – Covent Garden. - Taylor James Resourcing - London

Previous corporate reception experience is essential for this role with a very well established but friendly professional services organisation. The ability to cover 8:30-16:30 and 10:30-19:00 shifts is required.

Duties:

Greet clients and visitors on arrival at Reception and check against the diary; take coats and bags; show clients/visitors through to their meeting room and inform relevant member of staff of the client/visitor’s arrival. Ensure meeting rooms are prepared before showing clients/visitors through. Deal with client requests during the course of meetings as appropriate, e.g. organising photocopying, printing and faxing and assisting clients with reservations such as lunch and travel

Maintain diary and meeting room booking system. Take meeting room bookings and notify the meeting organiser room bookings.

Ensure meeting rooms are prepared for each meeting and any special requirements have been met e.g. room layout, lunches, etc. To include set up for or liaising with IT department (as appropriate) for use of audio visual equipment, laptops, projectors, Wi-Fi access, Skype and conference calls.

Ensure the reception area is at all times kept clean and tidy; flowers are delivered on time and are a satisfactory standard; newspapers are tidy; coat cupboard and administration cupboard to be kept neat and tidy at all times.

Liaise with the Client Services Assistant regularly to ensure rooms are cleared and prepared for next meeting; refreshments are kept fresh during lengthy meetings; and any changes to meetings are advised. Assist the Client Services Assistant where and when possible.

Notify the Facilities Manager or Facilities Assistant of any cleaning or maintenance required, reporting any electrical/mechanical faults.

Log all packages, parcels and by hands delivered to Reception and notify the appropriate member of staff of their arrival. Arrange for General Office to remove at their next collection round.

On receipt of the appropriate form, order domestic and international couriers, ensure they are collected from the building and delivered to the recipient to time, and notify the sender of any issues.

Order and keep a record of taxis for clients and staff ready to reconcile with invoices.

Manage and maintain the access card system. To include issuing and collecting staff and contractors’ access cards, updating records for joiners and leavers.

Ensure all set up work is undertaken ahead of new joiners arriving including switchboard and Internal Telephone Directory updates. Internal Telephone Directory to be produced in hard copy format and provided to Ground Floor Reception and all meeting rooms on the first working day of each month.

Answer all calls promptly and professionally, ensuring all calls reach their correct destination.

Report all faults to service provider promptly. Log all internal and external faults and notify Facilities Manager. Monitor progress to conclusion.

Provide replacement telephone handsets and headsets to partners and staff as requested.
